Schedule R · retention, attached to every note

What this office holds on a collectionThe records raised for a booked collection, and how long each is kept

Every record listed here exists because a booked collection cannot be run or evidenced without it. Each entry says what the record is, why it is held and how long it stays on the file, in the same order the paperwork is raised.

The records raised for a booked collectionEntry R1

The list runs in the order a collection produces it: the booking first, then the visit, then the note and the ticket that close it.

The booking name
The person or company the container is booked to, held so that the transfer note names the party the waste came from, and kept with the note for the two years the duty of care requires.
The collection address
The site the container stands on, held so that the round can be planned and the place of transfer entered on the note, and kept for the same two years the note is kept.
Gate and access notes
The width of the approach, the surface, the headroom and where the driver reports, held on the run sheet so that the driver arrives able to reach the container, and kept while the site stays on the round.
The driver contact number
A mobile number for the person meeting the vehicle, held so that a blocked gate can be settled from the road, and kept for the run of the booking and the exchange that closes it.
The copy transfer note
The producer copy of the waste transfer note for each load, held as the record of description, waste code, quantity, carrier registration and both signatures, and kept for two years from the transfer. A duplicate is run off at the transfer station and travels back with the next container exchange, so that a copy reaches you as a matter of course.
The weighbridge ticket
Gross, tare and net tonnage with the vehicle registration and the time of weighing, held so that the tonnage on the note and the tonnage on the bridge agree, and kept alongside the note for two years.
The run sheet line
The entry recording that the exchange was made, or the reason it could not be made, held so that a gap in the sequence of notes is explained by the file, and kept with the collection record it belongs to.
Mail sent to the collections address
Anything written to collections@djrecycling.info arrives in a mailbox read at the yard, held so that a booking or a question can be answered, and kept for as long as the enquiry or the account it belongs to is live.
The font request your browser makes
These pages call two type families, Signika Negative and Titillium Web, from Google Fonts, so opening a page here sends a request to Google servers carrying your browser details and network address, which Google receives under its own terms as the operator of that service.

Nothing on these pages counts a visit, and the three sheets carry no forms that send anything back to this office. The arithmetic in the ladder and the fill guide runs in the browser and stays there.

R2

The party holding the file

One controller, one address for questions, and a reason attached to every record.

Who holds these records, and on what footingEntry R2

D J RECYCLING LTD, registered office 75 Wiston Avenue, Worthing, BN14 7PT, is the controller of every record in the schedule above and answers on all of them at collections@djrecycling.info. The company is registered in England & Wales under company number 14119395, with D-U-N-S number 228951329, and trades under SIC 38110, the collection of non-hazardous waste.

The transfer note and the weighbridge ticket are held because the duty of care requires a written record of each transfer and requires it to be produced on request. The booking, the access notes and the run sheet line are held because a round cannot be planned or evidenced without them. Once the retention period attaching to a record has run, the record is taken off the live file.

A record shared with another party is shared for one reason: the transfer note copy that goes to the producer, and the details a permitted transfer station needs to accept a load. In either case the sharing is part of the transfer itself.

R3

Asking about an entry

Give the site and the week, and the file is searched from the collection date.

Asking for a copy, or asking for a correctionEntry R3

Write to collections@djrecycling.info with the site and the week the collection fell in, and the file is searched from the collection date and the site index. A copy of a transfer note within its retention period is issued from the file, and a note that has been amended at the weighbridge is issued in its amended form, so that the copy matches the entry the register holds.

Where an access note or a booking detail is wrong, say what it should read and the entry is corrected on the run sheet before the next round. A correction to a signed transfer note is handled differently, because the note records what both parties signed at the transfer: the correction is recorded against the entry rather than written over it, so that the original wording survives.
